TL;DR
A hotel tech CRM must handle groups, management companies and properties as related records, with property-level data, renewals and partner sourcing.
Published prices in October 2026 range from free plans to $550 per user per month, and onboarding fees and admin time add to the real cost.
Lighter tools suit founder-led teams selling to independents, while group and management company sales need hierarchy, labelled relationships and forecasting.
A new CRM inherits bad data, so fix fields, duplicates and stage definitions before or during the move.
Trial each shortlisted CRM with your 50 most representative accounts and one real deal and renewal before choosing.
Most hotel tech companies pick a CRM the way hotels pick a PMS: the founder used one before, a board member recommends another, or a free plan was easy to start. Three years later the CRM holds 4,000 hotels as flat company records, nobody can see which properties belong to which management company, and renewals live in a spreadsheet.
This comparison is for founders and revenue leaders at PMS, channel manager, booking engine, RMS and similar vendors. It covers what is different about a hotel tech sales motion, how four widely used CRMs compare on published prices and features, and which fits which stage.
What a hotel tech CRM has to handle
Generic CRM reviews assume one company buys one product. Hotel tech rarely works like that. Before you compare tools, write down which of these you need:
Account hierarchy: owner, management company, brand and property can all be different entities, and a contact can matter at several of them.
Property-level data: rooms, property type, region, current PMS and contract end date sit on the property, not the group.
Per-property deals and renewals: a group often rolls out in waves, so one account carries many deals and many renewal dates.
Partner and reseller sourcing: deals introduced by a PMS partner, consultant or management company need to be tracked as such.
Seasonal pipeline: you need to compare pipeline with the same period last year, not just last month.

The four CRMs compared on published pricing
Prices below are as published on each vendor's pricing page in October 2026, per user or seat per month. They change often, so check before you buy.

HubSpot Sales Hub | Starter from $7 | Professional from $90 | Enterprise from $150 | Free for up to 2 users; required one-time onboarding of $1,500 for Professional and $3,500 for Enterprise |
Salesforce | Starter Suite $25 | Pro Suite $100, billed annually | Max $550, billed annually | Core $195 and Advanced $395 sit between Pro Suite and Max |
Pipedrive | Lite $14, billed annually | Premium $59, billed annually | Ultimate $79, billed annually | Growth at $39 adds subscriptions and forecast reports |

How they compare on hotel-specific needs
The table below sticks to what each vendor publishes. Where a capability depends on configuration, test it in a trial with your own data.
Need | HubSpot | Salesforce | Pipedrive | Attio |
|---|---|---|---|---|
Group and property relationships | Associations between records; association labels need Professional or Enterprise | Account, contact and opportunity management from Starter Suite | Leads, deals and contacts in one place from Lite | Objects: up to 3 on Free, 5 on Plus, 12 on Pro |
Forecasting | Forecasting from Professional | Quoting and forecasting from Pro Suite | Forecast reports from Growth | Advanced reporting on Pro |
Data quality controls | Deal pipeline approvals on Enterprise | Customisation and automation from Pro Suite | Required and pipeline-specific fields on Premium | Permission controls on Pro |
Safe testing | Standard sandbox on Enterprise | Backup, recovery and archive on Advanced | Sandbox on Ultimate | Check with sales |
Onboarding cost | $1,500 or $3,500 one-time on Pro and Enterprise | Premier Support as an add-on on Pro Suite | Not listed | Not listed |
One detail worth knowing for hotel groups: HubSpot's documentation on associating records explains that a contact can be linked to several companies with one set as primary, and that activities such as logged emails and calls are automatically associated only with the primary company. If your general manager contact also works with the management company, decide which record is primary on purpose, or activity will land in the wrong place.
Which CRM fits which stage
Founder-led, under about 10 sellers, mostly independents
You need speed, a clean pipeline and low admin. Pipedrive and Attio are both built for small teams and price accordingly, and HubSpot's free and Starter tiers are an easy start if marketing will live in the same tool. Avoid configuring for an enterprise motion you do not have yet.
Selling to groups and management companies
Account hierarchy, labelled relationships and forecasting become essential. HubSpot Professional or a Salesforce suite at Pro level and above cover these, at a higher price and with more setup. Attio's custom objects are worth testing if you want properties as their own object rather than as companies.
Multiple products, regions or a partner channel
You will need stricter permissions, sandboxes for testing changes, and reporting by region and partner. This is where Salesforce's higher editions and HubSpot Enterprise are usually compared, and where admin capacity matters as much as licence price.
Four mistakes hotel tech teams make when choosing
Modelling every hotel as a flat company record. It works for the first hundred independents and breaks the day you sign a management company with twenty properties, because nobody can see the group's total value or which properties are still to roll out.
Buying the top tier for features nobody will configure. An enterprise edition without an admin to run it is an expensive spreadsheet. Price the admin time alongside the licence.
Letting customer success live outside the CRM. If renewals, health and expansion sit in another tool, the sales team never sees which properties are at risk inside an account they are trying to grow.
Choosing on the demo, not on your data. Every CRM looks clean with sample data. Your three most complicated hotel groups are the real test.
The cost nobody budgets: data discipline
A new CRM does not fix bad data. Validity's State of CRM Data Management in 2025 report, based on 602 CRM users and stakeholders, found that 76% said less than half of their organisation's CRM data is accurate and complete, and 37% reported losing revenue as a direct consequence of poor data quality.
If your current CRM is messy, list the reasons before you switch. Missing fields, duplicate hotels and stages nobody agrees on will move with you. Our guide to rebuilding a CRM setup for hotel tech covers the clean-up, and closed-lost tagging is one of the first fields worth fixing.
A five-step selection process
Write down your account model: group, management company, brand and property, and which fields live at each level.
Export 50 real accounts, including your three most complicated groups, and load them into a trial of each shortlisted CRM.
Run one live deal and one renewal through each trial, including a partner-sourced deal if you have a channel.
Build the three reports your leadership meeting actually uses, including pipeline against the same period last year.
Price three years of licences, onboarding and admin time, not the first month.
If your pipeline swings with hotel seasons, add the reporting from our guide to pipeline reviews around hotel seasonality to step four. The CRM is the system of record for the whole hotel tech GTM strategy, so choose it for the motion you will run in two years, not the one you ran last year.
If you are choosing a CRM because the current one cannot tell you where deals are lost, a free revenue leak audit will show where your pipeline leaks before you pay to move it.
